Industries · Hospitality - AI for hotels, guest houses and venues
You’ve got a venue to run and a team in it. The season is booked, you’re front of house, back of house, and finance all at once. Assist IQ builds and manages the systems that handle the communication layer: enquiries answered at any hour, confirmations sent, reviews collected, no-shows chased. Your team keeps the moments that need a person.
The problem - You are not short of demand. You are short of hands at 10pm.
Hospitality does not have an interest problem. It has a response problem: the moments that win or lose a booking happen outside the hours anyone is at the desk.
- The enquiry that went cold overnight. A guest messages at 10pm about Friday availability. Nobody sees it until nine the next morning. By then they have booked somewhere that answered.
- The no-show you absorbed. No reminder went out, no confirmation was chased, and the table or room sat empty. The loss is silent, so it never gets fixed.
- The review nobody asked for. Twenty good stays, three mentions to friends, zero new reviews, because the ask never happens at the right moment. Your visibility stays flat while the service stays excellent.
The fix - An AI employee on the desk all night.
A working AI employee configured to your venue, your booking flow and your policies, handling the communication layer while your team handles the guests in front of them.

- Enquiries answered at any hour. Email, web form or message, the guest gets an immediate, personalised reply with the answer or the booking link. The 10pm question is handled at 10pm.
- Confirmations and no-show follow-up. Bookings get confirmed, reminders land at the right window, and the guest who cannot make it gets the chance to say so while you can still fill the space.
- Pre-arrival and post-stay messages. Check-in instructions, local recommendations and the follow-up after checkout, templated once and personalised every time.
- Reviews collected on schedule. The review ask goes out after checkout, every time, with a gentle follow-up. Part of the Managed Service, run by us so the front desk never has to think about it.
No named hospitality client yet. Here is what we can show instead.
The jobs above are the same jobs our own businesses run on every day. ScottishWill answers every enquiry, chases every missing piece of information and confirms every order automatically, and one person runs what would otherwise take four. PCMG Property sends its compliance chases with nobody remembering to. Swap wills and gas certificates for bookings and check-ins and it is the same system.
When a hospitality client has been through delivery and agreed to be named, their story goes on the proof page with real numbers. We do not publish illustrations dressed as case studies.
Questions hospitality owners ask us.
You’ve got a full operation to run. Straight answers below.
Does this replace my front desk staff?
No. It takes the repeatable layer off them: the availability questions, the confirmations, the pre-arrival messages, the review asks. The complaint, the late check-in with a special request and the regular who is greeted by name stay with your team, and they have more time for exactly those moments. It expands the desk. It does not empty it.
Will it work with the booking system I already use?
We build around your existing tools wherever possible, and the common booking engines and channel managers sit comfortably alongside the automation layer we use. Your systems and the handoffs around them are reviewed during the AI Operations Day, before anything is built or promised. If your stack genuinely cannot support it, we say so there.
What if a guest asks something the system cannot answer?
It escalates instead of improvising. The system is configured with your policies, your FAQs and your booking rules, and anything outside them gets flagged to your team with the conversation attached. A guest never gets a made-up answer about your venue. The line between handled and human is set by you during the build.
How is this different from a chatbot on my website?
A chatbot waits for someone to type at it. This works across your whole communication layer: inbox, forms, confirmations, reminders, post-stay follow-up and review collection, and it takes actions rather than just generating replies. A chatbot is one window. This is the desk rota for the hours nobody is on the desk.
Start with a free enquiry
Not a discovery call. Not a pitch with a calendar link. Five questions about how your business actually runs, and it costs nothing. Ross reads every enquiry himself and replies within one working day with a straight first answer: what looks worth automating, and what doesn’t.
If it looks like we can genuinely help, the next step is the AI Operations Day: one working day inside the business, followed by a written Opportunity Map. It shows what is hurting, what should stay human, and the best one or two jobs to prove first. That part comes later, and only if it makes sense for you.
Free to ask. No obligation. Ross replies personally within one working day.
