The Managed Service - Your front of house, run for you

The Managed Service is Assist IQ’s done-for-you operating layer: an assistant layer, automation and a CRM we run on your behalf, combined into one system. Missed calls get a text back in seconds, every enquiry gets a reply, quotes get chased until they are a yes or a no, and happy customers get asked for a review. We build it and we run it. You approve things.

Who it's for - The business that runs on its owner's memory.

You do not need more apps. You need someone to build a system that actually runs, and then stay and run it. This service exists for three situations we see constantly.

  • The phone rings out. You are on a job, in a meeting, or driving. The enquiry goes to voicemail, the voicemail goes nowhere, and the customer calls the next name on the list. Speed wins work, and you cannot be fast and busy at the same time.
  • The owner is the bottleneck. Every quote, every chase, every booking runs through one person. The business is capped at the hours you can stay awake, and the evening admin never ends.
  • Software you bought and abandoned. There is a CRM somewhere with stale contacts in it, and an automation someone set up that quietly stopped working. Tools do not run themselves. That was never your job to fix.

What's included - Six jobs, done every day, without you.

Not a feature list. These are the six pieces of front-of-house work with the highest measurable impact on won work and owner time, running as one connected system.

What runsWhat it does for you
Missed-call text-backA missed call gets a personalised text within seconds, so the enquiry is caught before the customer dials the next number.
Enquiry handling, every channelWebsite forms, email and messages get an immediate, relevant reply at any hour. Nothing waits until morning.
Quote and lead chasingEvery quote is followed up until it is a yes or a no. The polite, well-timed chase most businesses never send.
Review collectionWhen a job closes, the review ask goes out at the right moment, with a follow-up if there is no response.
CRM, set up and kept cleanOne live record of every contact, conversation and job stage. We run it as part of the service; it never becomes your admin.
Monthly reportOne page: what came in, what was handled, where it came from, and what we recommend changing.

The enquiry-and-call layer of this service is the AI receptionist. It all works because the pieces are connected: the same system that catches the call chases the quote and asks for the review. Three disconnected tools cannot do that, however good each one is.

How it works - Three steps. The first one has the only price.

There is no separate process page because the process is not complicated. It looks like this for every client.

  • 1. The AI Operations Day. One working day inside your business, watching how the work actually moves and speaking with the people carrying it. Within five working days you receive a written Opportunity Map: what is hurting, what should stay human, and the first workflows worth handing to a managed system. It is £750 per day, and the full fee is credited against a qualifying pilot or build agreed within 60 days. How the Operations Day works.
  • 2. We build your system. The automations, the CRM and the assistant layer, configured to your voice, your hours and your processes. Built from a tested baseline, not from scratch, so it goes live in days rather than months.
  • 3. We run it. From day one your missed calls are answered, your follow-up fires and your records stay clean. You get the monthly report and approve anything that needs a human decision. The service is priced after your Operations Day, to the roles your business needs.
Proof, not promises

This is the operating model our own businesses run on.

ScottishWill, the will-writing business our founder built, runs its whole operational layer this way: enquiries handled, admin carried by automations, judgment kept with a person. One person runs what would otherwise take four. PCMG Property runs its expense management and compliance chasing the same way, with nothing waiting on someone to remember.

We are not reselling a playbook we read about. We are selling the system we live on.

Honest limits - What this service will not do.

The Managed Service is the right tool for a specific layer of your business. We would rather tell you the limits now than have you find them later.

  • It will not fix a demand problem. If the phone is not ringing at all, faster follow-up will not save you. Fixing findability is a different job. Start with AI visibility if that is where you are.
  • It is not a toolkit and a login. If you want prompts, templates and a course, that is a different purchase. This is done-for-you and managed, which is exactly why it keeps working after month one.
  • It still needs you, briefly. A human stays in the loop by design. Budget a short review each month and quick approvals when something needs judgment. If you want zero involvement, we will say no.

Questions we get asked about the Managed Service.

If yours is not here, the FAQ page has more, and the Operations Day answers the rest.

What does the Managed Service cost?

The only price we publish is the AI Operations Day at £750 per day, because the Managed Service is priced to the roles your business actually needs, once we have seen the work. Pilots, builds and multi-site engagements are scoped to the work and priced in writing before anything starts. If you proceed with a qualifying pilot or build within 60 days, the full fee comes off the cost.

How is this different from hiring a virtual assistant?

A human VA is the right tool for judgment and relationships. The Managed Service handles the layer no VA should be spending time on: the text-back at 11pm, the third quote chase, the review ask when a job closes, the record keeping. Many businesses run both. The system does the repeatable work, and people do the human work.

Do I need to learn new software?

No. We set up and maintain the CRM and the automations behind the service, and the results surface in the tools you already use: your phone and your inbox. You can see everything that happens whenever you want to look, but there is no dashboard you have to learn and no system you have to maintain.

What happens when something changes in my business?

You tell us and we change the system. The monthly rhythm includes a check on what is working and what has drifted, and anything urgent is a message, not a support ticket. Managed means managed: keeping the system matched to your business is our job, not yours.

Start with a free enquiry

Not a discovery call. Not a pitch with a calendar link. Five questions about how your business actually runs, and it costs nothing. Ross reads every enquiry himself and replies within one working day with a straight first answer: what looks worth automating, and what doesn’t.

If it looks like we can genuinely help, the next step is the AI Operations Day: one working day inside the business, followed by a written Opportunity Map. It shows what is hurting, what should stay human, and the best one or two jobs to prove first. That part comes later, and only if it makes sense for you.
